You want to know what it costs before you book a call. Fair. The price is on this page, and so is the list of practices it is not a fit for.
What does Calibic cost?
One plan. Every practice gets all of it.
| Billing | Price per location | Per year |
|---|---|---|
| Monthly | $149 a month | $1,788 |
| Annual | $119 a month | $1,428, saves $360 |
The price is per location. A practice with two offices on two databases pays for two locations. Enterprise and DSO groups are priced by conversation, not from a table; see Calibic for DSOs and multi-location groups.
There is no free trial. There is no guarantee either, because found money is not recovered money, and we will not promise a figure we cannot verify in your own records.
What is included?

- Read-only access to your practice software. Calibic never writes, edits or deletes a record.
- A Business Associate Agreement sent with every sign up.
Not included, because they do not exist yet: texting, campaigns and AI outreach are ROADMAP and we say coming until they are live. The street-by-street rank grid is also ROADMAP. The Coverage page lists what runs on Open Dental, Dentrix and Eaglesoft, and what does not.
How do I know if it pays for itself?
Do the sum on your own numbers, not ours.
At $119 a month, one $1,200 crown that was planned, never booked, and then booked because it showed up on a Tuesday morning list covers ten months. Most practices have more than one of those sitting in the Unscheduled Treatment Plans report right now.
But be strict about it. Calibic counts money as recovered only when the PMS shows the procedure booked, completed and paid. A list of $38,000 planned and not booked is a list of opportunities. It is not $38,000. If after three months the Recovered counter is not clearly above the subscription, cancel.
When is Calibic not worth it?
Some practices should not buy this, and it is better to say so here than on a call.
- Your software is not Open Dental, Dentrix or Eaglesoft. Nothing to read, so nothing to show.
- You want texting or recall campaigns today. Those are ROADMAP. Weave, Adit and others sell messaging now; see Calibic vs Weave.
- You need a SOC 2 report to get past procurement. Calibic does not hold one yet. The Security page says exactly what we do and do not have.
- Your office manager already runs the unscheduled treatment report, the recall list and the day sheet every Monday and acts on them. You are the practice everyone else is trying to become. Calibic would mostly confirm what you know.
- You want a tool that writes back to the PMS, posts payments or books appointments. Calibic is read-only by design and will stay that way.
What happens after I sign up?
You receive the BAA and an installer for the practice server. The agent reads your database, syncs every five minutes, and the first lists appear in the console. If the numbers do not match your own reports, tell us; the Huddle shows gross production before write-offs and says so.
Next step: book a 20 minute demo on your own numbers, or read how Revenue Recovery separates found from recovered.
