It is the 14th working day of a 21-day month. The team production bonus kicks in at $190,000. Is the practice on pace, and what does each person’s number look like today rather than on the first of next month? Scorecards answers that without a spreadsheet, and tracks the bonus rules you have already written.

What does the screen show?

Two tabs: Month to date and Last month.

Pace. Production against goal on one bar, with a tick marking where the month should be today and a projected month end. Collections beside it.

A card for each provider. Production per visit and per hour, visits, patients, new patients and 90-day case acceptance, each with its daily goal.

Team leaderboard. Rank, team member, calls, booked, done, recovered and wins. This comes from Calibic’s own follow-up log and the Opportunities screen, not from the practice software, and recovered dollars count only once the practice software shows the treatment booked, done and paid.

Bonus tracker. Three rule types: a flat amount at a threshold, a percentage of everything over the threshold, or an amount per unit over it. Each row shows actual, earned so far and projected.

A worked sample, using the figures above. Production month to date is $131,570 on day 14 of 21. Projected month end: $131,570 ÷ 14 × 21 = $197,355. That is $7,355 over the $190,000 threshold. A rule paying 3% of the amount over projects $7,355 × 0.03 = $220.65, while earned so far is $0 because the threshold has not been crossed yet. Sample figures, not a benchmark.

Settings hold goals, providers and bonus rules. A rule can apply to the whole practice or to one named person, and a person can hold more than one rule. Six-dimension scorecards are ROADMAP.

What does it read from my practice software?

Read-only. Provider production and visits come from procedurelog, provider and appointment on Open Dental; from admin.v_proclog, admin.provider_view and admin.v_appointment on Dentrix; and from transactions_header, provider, daily_provider_productivity and appointment on Eaglesoft. Calls, bookings and wins come from Calibic’s follow-up log.

Is it live on my system?

LIVE on Open Dental and Dentrix. On Eaglesoft the provider cards are partial: case acceptance and production per hour are withheld until the fields behind them are verified, and the tile shows a dash rather than a guess.

What it does not do

It does not pay anyone or export to payroll. It does not set goals for you; the defaults are placeholders. It does not count a win as recovered on a staff member’s say-so; the practice software has to show it.

Scorecards track bonus rules but never pay anyone.

Next step

Check a provider’s number with the production per hour calculator. The Dashboards page has the Provider board the cards are built from, and Revenue Recovery is where the leaderboard’s recovered dollars are verified.

Questions people ask

Who can see the bonus rules?

The owner and admins see everything. Staff see the practice-wide rules and their own rows only. Nobody sees a colleague's pay.

Does a bonus scorecard push staff to oversell?

It can, if every metric is production. Calibic lets you choose non-production metrics such as hygiene pre-appointment rate or booked follow-up calls. Check any bonus structure with your accountant or counsel.
