Draft. These terms have not yet been reviewed by counsel and are published for transparency while that review happens. They will be replaced by the reviewed version, with a dated change note, before they are relied on.

Effective date: to be set on review. Last updated: 2026-10-13.

1. Who these terms are between

These terms are between Calibic (“Calibic”, “we”) and the dental practice or organisation that creates a Calibic account (“you”, the “Customer”). The person who creates the account confirms they are authorised to bind the practice. If you run several locations, each location added to the account is covered by these terms.

2. What the service is

Calibic is analytics software. An agent installed on your practice server reads your practice management system (Open Dental, Dentrix or Eaglesoft), sends records to the Calibic cloud, and the Calibic application shows lists, dashboards, reports, an audit trail of changes, local search and review information, and answers to questions about your data.

Calibic is read-only toward your practice software. It does not write, edit or delete records in your practice system, does not take or process patient payments, and does not send messages to patients. Features marked ROADMAP in the application or on calibic.com are not available and are not part of the service until they are marked LIVE or BETA. Features marked BETA may be incomplete and may change.

3. Price, billing and term

The price is $149 per location per month, billed monthly, or $119 per location per month, billed annually in advance. Prices are stated on the pricing page and may change with at least 30 days’ notice before your next renewal. Enterprise and group pricing is agreed in a separate order form.

There is no free trial. Monthly subscriptions renew each month until cancelled; annual subscriptions renew each year unless cancelled before the renewal date.

Taxes are added where they apply. If a payment fails, we will tell you and may suspend access until it is settled.

4. Your practice software and your authorisation

By connecting a practice system you confirm that you are licensed to use that system, that you are permitted to grant a third party read access to its database, and that you authorise Calibic’s agent to read it for the purpose of providing the service. Open Dental, Dentrix and Eaglesoft are trademarks of their owners. Calibic is not affiliated with, endorsed by or certified by any of them.

You are responsible for the practice server the agent runs on, including its operating system, its backups and who has access to it.

5. Your data and the Business Associate Agreement

You own your data. Calibic receives patient records as your business associate under HIPAA. A Business Associate Agreement is sent with every sign up and must be accepted before the agent is connected. The BAA governs protected health information; where the BAA and these terms differ on that subject, the BAA wins.

We use your data only to provide and improve the service for you, and as the BAA and the privacy policy describe. We do not sell it and do not use it for advertising.

6. Accounts and access

Team members sign in with their own email address and a one-time code. You are responsible for who you add to your account, for the role you give them, and for removing people who leave. Tell us at once if you believe an account has been used without permission.

7. Acceptable use

You will not use Calibic to:

  • access data of a practice you are not authorised to access;
  • attempt to bypass the read-only design, probe or overload the service, or reverse engineer the agent beyond what law permits;
  • make statements to patients or staff that present a Calibic finding as a conclusion of wrongdoing. Protect shows observed changes with their evidence; it does not determine misconduct.

8. AI features and accuracy

Ask, drafts and briefs are produced with the help of a large language model. Answers come from your synced data and list their sources, and figures in briefs are checked against your data before they are spoken, but the output can still be wrong or incomplete. Review AI output before acting on it, and never post a drafted review reply without reading it. AI features can be turned off in Settings.

9. Found is not recovered, and no guarantee

Calibic finds opportunities in your records: overdue recall, unscheduled treatment, benefits left, unusual changes. An opportunity found is not money collected. The service counts revenue as recovered only when your practice system shows the treatment booked, completed and paid. We make no promise about the amount you will find or recover, and nothing on calibic.com or in the application is a guarantee of financial results.

10. Availability and support

We aim to keep the service available and will tell you about planned maintenance where we can. We do not offer an uptime commitment or service credits at this time, and we do not hold a SOC 2 report. Support is by email at hello@calibic.com during business days.

11. Changes to the service

We add and change features. We may retire a feature with notice. We will not reduce the security of your data without telling you first.

12. Ending the agreement

You can cancel at any time from your account or by email. We can suspend or end your account if you break these terms, fail to pay, or if continuing would break the law, with notice where the circumstances allow. On termination the agent stops syncing. Your data is deleted on request as the BAA and the privacy policy describe. Export of lists and reports is available while your account is open.

13. Warranties and liability

The service is provided as is. To the fullest extent the law allows, Calibic disclaims implied warranties, and Calibic’s total liability for any claim arising from the service is limited to the fees you paid in the twelve months before the claim. Nothing here limits liability that cannot be limited by law, or Calibic’s obligations under the BAA.

14. Governing law

To be set on review by counsel.

15. Changes to these terms

We will post changes here with a new “last updated” date and email account owners about material changes at least 30 days before they take effect, except where a change is required by law.

16. Contact

hello@calibic.com. Do not include patient information in email.
