The 10 AM hygiene slot is empty again. The recall list in your practice software says thousands are overdue, which is so many that nobody calls any of them. At one office we looked at, the raw overdue count was higher than the number of active patients, because every recall type was counted separately and nothing was ever aged out. Smart Recall fixes the count first, then gives the team a list short enough to call.
What does the screen show?
The Recall and Reactivation page opens with four tiles: Overdue recalls, Due in the next 30 days, Patients on recall, Reactivation. Each is counted once per patient, active patients only, and bounded at 24 months.
Below the tiles: pending recalls by type (prophy, perio maintenance, child prophy, bitewings, panoramic, fluoride) as a chart or a table, and one bar that splits the whole base into overdue, due soon and not yet due.
The call list is the point. Patients are ranked by who is most likely to say yes, so the first ten calls are the ten most worth making. Ready-made segments cover Overdue recall, Hygiene overdue, Unscheduled hygiene, Perio patients and five reactivation windows. Three worklists sit in Follow-ups with an owner, call outcomes and a done button: Hygiene recare, Recall recare, and Broken and unscheduled.
A second tab, Hygiene and Chairs, tracks re-appointment: of patients seen for hygiene in the last 7, 30 or 90 days, the share who left with a next visit booked, against a goal you set (95% until you change it), with the unscheduled patients listed for calls.
What does it read from my practice software?
Read-only. On Open Dental: recall, recalltype, patient, appointment and commoptout. On Dentrix: admin.v_patient_recall, admin.recallpending, admin.v_patient and admin.v_appointment, with patients seen in the last 18 months. On Eaglesoft: patient_recalls, recalls, patient and appointment, excluding opt-outs and the deceased. Lists refresh every 5 to 30 minutes.
Is it live on my system?
LIVE on Open Dental and Dentrix. On Eaglesoft it is BETA: recall and re-appointment run, while the recare worklists and chair usage are off until their fields are verified. The 24-month bound is confirmed on Open Dental and Dentrix only.
What it does not do
It does not text or email patients. Automatic recall reminders and sequences are ROADMAP and marked coming; texting runs in test mode today and nothing reaches a patient. Your team makes the calls and logs the outcome in Follow-ups. It does not change a recall date or type in your practice software.
Next step
Put your own overdue count into the reactivation revenue calculator to see what a quarter of calls is worth. Revenue Recovery covers the treatment side of the same patients. If you want the raw list from your own software first, start with the Open Dental recall report guide.
