The office manager’s weekly set is production, collections, new patients, recall and broken appointments. In most practice software those are five reports in three different menus, each with its own filter screen, and two of them do not export. The Reports library gives all twelve the same shape, so once you have learned one you have learned them all.
What does the screen show?
Twelve tabs: Production, Visits, Hygiene, Collections received, Collections pending, Recare, Recall outreach, New patients, Growth, Cases, Re-appointment, Broken appointments.
Every report has the same layout. Two filters at the top: Provider (people only) and Period. Four tiles, where the first tile is the verdict: Scheduled for Production, Collected for Collections received, Total AR for Collections pending, Re-appointment rate for Re-appointment. One chart, which switches to a table. Then the source rows, where a patient name opens the patient card. PDF, Export CSV and a notes block sit at the bottom.
The twelve fall into four families:
- Money: Production, Collections received, Collections pending.
- Schedule: Visits, Re-appointment, Broken appointments.
- Patients: New patients, Growth, Cases (acceptance).
- Hygiene and recall: Hygiene, Recare, Recall outreach.
Periods run from today to the last 30 days. Ledger reports cover this month and last. Growth shows thirteen months. Collections pending and Recare are as-of reports with no period.
Exports state their limits. CSV takes every table up to 20,000 rows each. PDF stops at 2,000 rows a table and prints a line saying it stopped. A section that has not synced yet is listed by name and only its own tiles go blank; nothing shows $0 in place of a missing figure.
Any tile or chart can be pinned to a dashboard of your own.
What does it read from my practice software?
Read-only. On Open Dental: procedurelog, adjustment, payment, paysplit, claimproc, appointment, recall and patient. On Dentrix: admin.v_proclog, admin.adjustment_view, admin.payment_view, admin.inspayment_view, admin.v_claim_summary, admin.v_appointment, admin.v_patient_recall and admin.v_patient. On Eaglesoft: transactions_header, transactions_detail, appointment, patient_recalls and patient.
Is it live on my system?
LIVE on Open Dental and Dentrix, all twelve. On Eaglesoft the library is partial: a report whose figures are not yet verified blanks only its own tiles and says so.
What it does not do
There is no filter by procedure code, though Production lists code volume. There are no separate adjustment, referral source, insurance or provider reports: adjustments are a tile on Production, PPO write-offs sit in Revenue Integrity, referral sources on Referrals, and provider figures on the Provider dashboard. It does not reach further back than the periods stated above; for longer trends use Growth or a dashboard with a range up to 400 days.
Next step
Open Production on your own data in a demo and compare it with the report you ran last Friday. Dashboards shows the same ledger as shapes rather than rows, and the office manager reports guide sets out the weekly routine.
