It is the third week of November. Forty-two days until most plans reset on January 1, and somewhere in the chart there are patients with $1,000 of benefits left and a crown that was planned in March. Finding them in your practice software takes a benefits report, a treatment plan report and a spreadsheet. This screen does the matching for you, and keeps the claims side on the same page.

What does the screen show?

Three tabs: Overview, Benefits left, Claims hygiene.

Overview shows Outstanding insurance AR, Awaiting payment, Not yet sent, Over 90 days, and carrier paid divided by billed over 90 days, plus open claims by age and by carrier.

Benefits left opens with a banner such as “7 patients, $6,670 in unused benefits, $6,550 of it could cover planned treatment, resets January 1”. The table lists Patient, Carrier, Resets, Benefits left, Planned treatment, Covers, Next appointment and a Draft reminder button. Tags turn red inside 45 days of the reset. The draft is a text and an email your team copies and sends; the amount is rounded down to the nearest $10 and the screen says “Calibic never sends this”.

Claims hygiene lists claims created but never sent with the amount billed and the oldest date, sent claims by age, by carrier, the oldest sent claims, and secondary claims never filed.

AR aging lives on the Collections dashboard, with insurance and patient balances aged together and credits not netted. Past-due balances arriving today are on the Daily Huddle; Balance due and Balances over 90 days are segments in Follow-ups.

What does it read from my practice software?

Read-only. On Open Dental: claim, claimproc, claimpayment, insplan, inssub, patplan, benefit, carrier and procedurelog. On Dentrix: admin.claim, admin.v_claim_summary, admin.inscarrier, admin.v_maximums, admin.v_patient_insurance, admin.inspayment_view and admin.aging. On Eaglesoft: insurance_claim, insurance, insurance_company, employer and transactions_header. Benefits and claims rollups refresh every six hours on Open Dental and the as-of date is shown on the screen.

Is it live on my system?

LIVE on Open Dental and Dentrix, all three tabs. On Eaglesoft, claims aging shows today; the benefits left list and the “no send date” claim lists are ROADMAP until Eaglesoft’s fields are verified.

What it does not do

Calibic never sends, edits or closes a claim, and never messages a patient. The reminder is drafted for a person to copy. AI drafting fills in first name, office, amount, carrier and deadline, and it can be switched off. There is no bank reconciliation.

Next step

Run the expiring benefits calculator with your own patient count. Revenue Recovery turns the benefits-left rows into a ranked call list, and the end of year benefits guide covers the letter and the timing.

Questions people ask

How accurate is the benefits left figure?

It is the annual maximum minus what has been used this benefit year, for the primary in-network plan. Plans with a placeholder instead of a real maximum are dropped. Confirm eligibility with the carrier before you quote a number to a patient.
