Eaglesoft has more reports than any office will ever use. The Reports window lists them by category and most of them are variations on six. Run those six on a schedule and you will answer every question an owner asks in a month.

How do reports work in Eaglesoft?

Printable reports live in one window, opened from the Reports menu. They are grouped into categories such as patient, financial, insurance and scheduling. Each report has an options dialog, then a preview you can print or save.

End of day is different. It is a process, not a report, and it lives under the Activities menu. Running End of Day closes the day’s transactions and produces the day’s reports in one pass.

The six reports and when to run them

Report Cadence What it answers
End of Day (with Day Sheet and Deposit Slip) Daily What was charged, paid and adjusted, and what goes to the bank
Provider Productivity Monthly Net production by provider and hygienist
Aged Receivables Monthly, over 90 weekly What is owed and how old it is
Unscheduled Treatment Monthly What is planned and not booked
Recall Weekly Who is overdue for hygiene with nothing booked
Audit Weekly What was changed or voided after posting

Daily: End of Day

Run End of Day after the last patient has checked out and before the deposit is counted. The Day Sheet it produces lists every service, payment and adjustment with the patient, provider and amount. The Deposit Slip lists the payments by method: cash, check, card.

The check is simple. Patient payments on the Day Sheet should equal the money in the drawer plus the card batch. If the Deposit Slip and the drawer disagree, resolve it before anyone leaves. A $40 difference today is a ten-minute search. The same $40 three weeks later is an afternoon.

Everything on these two reports comes from one table, transactions_header, where services are type S, patient payments type A, insurance payments type P, credit adjustments type C and debit adjustments type D. A voided row stays in the table with a status of D, and Eaglesoft posts a mirror row with status V to reverse it. That detail matters for the audit report later.

Weekly: Recall and Audit

The Recall report with a twelve-month range and no appointment is the hygiene call list. Full steps are in the Eaglesoft recall report guide.

The audit report for last week, read against the Day Sheets for the same days, takes ten minutes. Every void should match a correction someone can explain.

Monthly: Productivity, Aged Receivables and Unscheduled Treatment

On the first working day of the month, run Provider Productivity for the month just closed. It gives gross production, adjustments and net production per provider.

A worked example. Dr. B shows $82,600 net production for the month over 15 days at 7.5 scheduled hours, so 112.5 hours. Production per hour is $82,600 divided by 112.5, which is $734. The hygienist shows $23,900 over 17 days at 7 hours, or 119 hours, which is $201 an hour. Those two numbers go on the monthly summary and get compared with last month.

On the last working day of the month, run Aged Receivables before statements go out. Read the over 90 column first. Then run Unscheduled Treatment with a $500 minimum and hand the top of the list, sorted by amount, to the treatment coordinator.

What should I stop running?

Any report you file without reading. If it has not changed a decision in three months, take it off the schedule.

What Calibic adds

Reports and Dashboards are LIVE, and Eaglesoft coverage is partial, verified one practice at a time. Calibic reads transactions_header, patient, appointment, provider and service_types over a read-only connection and keeps the six answers on screen: today’s production and collections, net production by provider, the aging buckets, the unscheduled total, the overdue recall count, and a Protect digest of voids with the amounts kept. Where a figure’s meaning on Eaglesoft is not yet verified, the tile says not available rather than showing a wrong number. The Coverage page lists which checks run.

Calibic never writes to Eaglesoft. End of Day in Eaglesoft stays the record you reconcile against.

Start with the Reports product page. For the daily check in detail, read the dental end of day report checklist. What Calibic reads from Eaglesoft today is on the Eaglesoft integration page.
